Social media reach can change overnight. An email list is different: those people asked to hear from you, and you can reach them directly. Systeme.io's free plan allows up to 2,000 contacts with unlimited emails sent, according to its pricing page, which is plenty for a new business.

There is one requirement many people miss, so let us start with it.

The rule that trips people up: you need your own domain

Systeme.io's help center states that authenticating a domain name is mandatory to send emails from Systeme.io. It also says you cannot authenticate free email providers like Gmail, Yahoo, or ProtonMail, and that Gmail sender addresses have not been allowed since July 16, 2024. In practice, that means:

  • You need a domain (for example, yourbusiness.com).
  • You send from an address on that domain (for example, hello@yourbusiness.com).
  • That address should be a real mailbox that can send and receive, so replies reach you.
  • The domain should load a working website. Systeme.io warns that a domain leading to an error page may get your emails blocked.

If you do not have a site on your domain yet, start with our guide to building a free website with your own domain.

Step 1: Create your account

Sign up for the free plan. No credit card is required.

Step 2: Authenticate your sending domain

  1. Go to Settings → Emails.
  2. In the Domains section, click the link to authenticate your domain.
  3. Enter your domain without the www and continue.
  4. Systeme.io shows three CNAME records and one TXT (DMARC) record. Add all four at your DNS provider.
  5. Return to Systeme.io and verify.

These records (SPF, DKIM, and DMARC under the hood) tell inbox providers that Systeme.io is allowed to send on your domain's behalf. Without them, your mail is far more likely to land in spam or be rejected.

Step 3: Confirm your sender address

Still in Settings → Emails, find Verified email addresses, add your sender address (hello@yourbusiness.com), and click the confirmation link that arrives in that mailbox. Then set it as your sender under the Sender section. Systeme.io notes this sender applies to transactional emails as well as newsletters and campaigns.

Step 4: Create a sign-up form

The simplest route is a Build an Audience funnel, which gives you an opt-in page and a thank-you page. You can also add an inline or pop-up form to a Systeme.io blog.

Make the offer specific. "Join my newsletter" converts poorly. A specific, useful thing does better, for example:

  • A one-page checklist ("What to ask before hiring a roofer").
  • A short guide or template.
  • A first-order discount if you sell products.

Step 5: Write the welcome email

Send it immediately after sign-up. Keep it short:

  1. Deliver what you promised, with the link right at the top.
  2. Say what they will get from you and how often.
  3. Ask one simple question they can reply to. Replies are a good sign to inbox providers, and they tell you what your audience wants.

On the free plan, Systeme.io's pricing FAQ mentions lower limits on some features, such as 1 automation rule and 1 email campaign. That is enough for a single welcome sequence. You can still send unlimited newsletters to your list.

Step 6: Send consistently and keep the list clean

  • Pick a rhythm you can keep: every two weeks is better than daily for a month and then silence.
  • Warm up slowly: start by mailing your most engaged contacts. Systeme.io publishes deliverability guidance for the first days of sending.
  • Make leaving easy: a clear unsubscribe link protects your sender reputation.
  • Never buy lists. Mailing people who did not sign up damages deliverability and can break anti-spam laws.

In the US, the CAN-SPAM Act requires, among other things, accurate sender information, honest subject lines, clearly identifying marketing messages as ads, a valid physical postal address (the FTC says a registered post office box qualifies), and a working way to opt out that you honor promptly. If you have subscribers in other countries, their rules may be stricter, so collect consent clearly.

Questions

Can I send from my Gmail address?

No. Systeme.io's help center says Gmail and Yahoo sender addresses cannot be used, and only custom domains can be authenticated.

How many emails can I send on the free plan?

Unlimited, according to Systeme.io's pricing page. The limit is on contacts: up to 2,000 on the free plan.

Do I need a website to start an email list?

Systeme.io says the domain you authenticate should have an active website linked to it, so yes, set up at least a simple page first.

What happens when I pass 2,000 contacts?

You would move to a paid plan. Startup at $17 per month covers up to 5,000 contacts.
